CCTV Privacy Notice
MPOWER Martial Arts Ltd operates a single CCTV camera at our studio. We take the privacy of our students and their families seriously, and we have kept our use of CCTV deliberately minimal. This notice explains what we record, why we record it, how long we keep it, and your rights. It sits alongside the “CCTV in Operation” signage displayed at our entrance.
Who we are
The data controller is MPOWER Martial Arts Ltd, 2 Stoneycroft Road, South Queensferry, EH30 9HX.
For any question about our CCTV, or to exercise your rights, contact us at [email protected].
What we record
We use one corner-mounted camera that covers the training room and the entrance. It records video only. Audio recording is permanently switched off, so we do not record sound at any time.
Why we record
We use CCTV to:
- help keep children safe while they train with us (safeguarding);
- protect our instructor who works alone with children;
- deal fairly and accurately with any accident, injury, insurance matter or complaint;
- keep the premises secure.
Our lawful basis
We rely on our legitimate interests under Article 6(1)(f) of the UK GDPR for the purposes set out above. We have assessed that recording is necessary and proportionate, which is why we use a single, video-only camera and delete footage quickly unless we have a specific reason to keep it.
How long we keep footage
Everyday footage, where nothing has happened, is automatically deleted after 30 days.
If an incident occurs, we save the relevant clip and keep it longer:
- an accident or injury: 3 years, or, where a child is involved, until that child’s 21st birthday;
- a safeguarding or child protection concern: at least 10 years, longer where required and for as long as any police or social services investigation continues.
Saved clips are held securely and permanently deleted once they are no longer needed.
Who we share footage with
We do not share footage with anyone, except where it is lawfully requested by the Police, Social Services, or our insurer or legal advisers in connection with a claim. We never post CCTV footage on social media or show it to other parents.
Where footage is stored
Footage is stored on the camera’s secure cloud service (Eufy), which processes it on our behalf under its own security terms. Access is restricted to the business owner.
Your rights
You have the right to:
- ask for a copy of footage of yourself or your child;
- object to our use of CCTV;
- complain to the Information Commissioner’s Office (ICO).
To request footage, contact us at [email protected]. We will respond within one calendar month. Where footage also shows other people, we will protect their privacy before sharing anything. If the footage you have asked for has already been deleted under our 30-day cycle, we will tell you.
Complaints
If you are unhappy with how we handle your information, you can raise it with us first and you also have the right to complain to the ICO at ico.org.uk or on 0303 123 1113.
Registration
